That does not mean the built-in module covers everything. If you run a complex funnel with dozens of automated sequences and end-to-end advertising attribution, you need a specialist platform. For B2B selling with a long cycle and a small team, the standard functionality is usually enough — and it removes an integration nobody has to maintain.

A useful way to decide. Count how often your sales team needs to know a customer's outstanding balance or credit limit mid-conversation. If the answer is "constantly", the argument for keeping sales inside the ERP is stronger than any feature comparison.

The order matters: contact first, customer created from it second. Create a customer directly and a contact separately, and you end up with two unconnected records — conversation history living apart from sales history.

For customers that already exist, the reverse operation is available: create a contact from the customer and restore the link. Doing this once, in bulk, at implementation time is far cheaper than discovering the split a year later.

Segmentation: keeping the database from becoming a dump

Segmentation works off criteria assigned to contacts. This is the difference between a working database and a list in a spreadsheet.

Segments are then dynamic lists built from those criteria, and the criteria can be saved and reused. A segment such as "finance directors at manufacturing companies we have not spoken to in three months" takes a couple of minutes to assemble — provided the criteria were filled in.

The practical rule: keep criteria few, and make them mandatory. Ten optional fields get filled in at random and mean nothing a year later.

Opportunities and sales cycles: a managed funnel

An opportunity is a potential deal carrying an estimated value, a probability and an expected closing date. A sales cycle defines the stages it passes through.

Each stage has its own completion probability, and the forecast is calculated from it: value multiplied by probability, aggregated across open opportunities. That means the forecast is only as honest as the stage definitions. If everything sits at 90% because moving a deal backwards feels like an admission of failure, the number is decorative.

Three habits make the funnel useful rather than ornamental: stages defined by buyer behaviour rather than seller activity, a rule that deals can move backwards, and a review of stuck opportunities rather than only of new ones.

Interactions, tasks and campaigns

Interactions record what happened: calls, emails, meetings, documents sent. Many are logged automatically — sending a quote records itself against the contact — which matters because manually logged history is history that stops being logged in busy weeks.

Tasks carry the next step with an owner and a date, so follow-up survives holidays and staff changes. Campaigns group activity around a segment and let you see response against a defined audience rather than against a vague sense of who was contacted.

Together these three turn a contact record from a phone book entry into an account history that a new salesperson can pick up without a handover meeting.

Where the built-in module stops

  • Marketing automation. Multi-step nurture sequences with behavioural triggers belong in a marketing platform.
  • Advertising attribution. Tracking which channel produced a deal needs tooling built for it.
  • High-volume transactional sales. Thousands of small deals a month suit a dedicated CRM with a lighter interface.
  • Field sales with heavy mobile use. Possible, but a purpose-built mobile CRM will feel better to the people using it daily.

For everything else — B2B deals measured in weeks, a sales team of five to twenty, and a need to see credit and balance alongside the pipeline — keeping sales inside the ERP removes an entire class of reconciliation problem.
